Role Overview & Specifications

As a Shared Technical Systems Specialist the individual, working with the Data Services Team Manager will be expected to be a shared resource to the wider team. Proactively taking responsibility for supporting other members of the team on technical deliveries, including, but not limited to the below key deliverables. Likewise the individual may be required to be a system administrator as well as provide additional sys admin support when individuals are on leave. This role will need to take ownership and responsibility for a variety of deliverables both internally and client facing.

Key Deliverables Including But Not Limited To



    Produce and analyse documentation

    Support and manage testing

    SQL – report building

    SSRS – report building / amendments to reports

    General dashboards (including PowerBI, Tableau etc)

    Data admin / entry (often bulk and under time pressure)

    System administration (multiple systems)

    May require working after hours / weekend working

    Disaster recovery testing support

    Training of users (various systems)

    Data transformation and integration projects (internal and external). Including DS lead for weekly data extract meetings.

Other responsibilities

    Proactively staying up to date with release notes, take ownership for testing during upgrades and ensuring the data services team are fully skilled in its operation.

    Ensure all changes to data are properly supported by appropriate authorisations, that originators are notified promptly when changes are completed for sign-off, and that other teams responsible for processes impacted by changes are notified appropriately

    Run routine business operation tasks including scheduled reporting, charge raising, adoption of interest, and regular system integrity checks

    Schedule, produce and collate centralised documentation such as demands/invoices, VAT receipts, and various reports and distribute it in a timely manner to the correct recipients

    May be required to act as assistant administrator in additional systems in all matters relating to the set-up and configuration of systems, liaise with IT to ensure issues with systems are fully documented, reported and resolved, acting as necessary as contact for IT and systems’ suppliers in the resolution of any technical issues

    Design, develop and run standard and ad-hoc reports in line with client needs and assist users in automating their reporting requirements

    Provide training and ad-hoc expert advice, guidance and support to all users of the property management systems to ensure correct operation of system functions and appropriate application of systems to business processes

    Maintain the chart of accounts and all standard look-up codes as directed by the Data Services Team Manager to ensure consistent analysis and reporting of data

    Maintain records and access rights for approved users, ensuring authorised joiners and leavers are added and removed in a timely manner and that appropriate segregation of duties is maintained in line with BNPPRE or client processes.

    Ensure that the security and integrity of systems and data is preserved

    Participate in the testing of regular system updates from software suppliers and assist in the identification, selection and implementation of new systems and major upgrades

    Maintain process and procedure documentation in line with improvements in systems and business processes and ensure changes are communicated to all users.

    User support in client specific data systems, processes etc.

    When required – the management of individuals in relation to system management / data entry / project work.

    Taking minutes, chasing / closing down actions and providing manager with weekly progress updates


Financials

    Analyse and provide resource plans for project work / report against agreed deliverables / track time spent across the team for project work as required.


Clients and Business Development

    May lead client relationships in relation to project deliverables / training


People

    Work as a shared resource within a team (may manage or lead initiatives).

    May manage individuals.

    MS office (advanced)

    Property management and accounting packages for managing agents (Horizon, Tramps, Yardi, MRI etc)

    Reporting software (Tableau / PowerBi / as required)

    Experience in a data entry or systems administration role within a busy office environment

Essential Qualifications


Essential experience


    Intermediate SQL

    Advanced Excel

    Ideally SSRS knowledge

    Ability to work under pressure and problem solve when faced with new problems

    Ability to flex based on project and BAU needs

    Able to work on own initiative and manage time effectively

    Highly numerate and accurate with strong attention to detail and excellent verbal and written skills

    Experience of managing and running property management systems (system administration)

    Ability to analyse and produce documentation (training and scope material)

    Ability to test and provide clear feedback

    Aptitude to understand business processes and procedures and assimilate new systems skills

    Able to interpret and investigate problems, apply common sense to the identification of solutions, and report clearly to senior management, IT and systems suppliers
