About The Role
The focus of this position is to prepare cross-cultural programs for Intercultural & Language Solutions. This position is a revenue generating position: coordinates cross-cultural training programs which are billed after delivery. The Program Specialist works closely with Cartus Intercultural Coaches, the Senior, the Program Consultants, and the Manager of Training Operations. The Program Specialist is the primary contact between Coaches and program presenters/subject matter experts. This position reports to the Manager of Training Operations.
Coordination Teamwork
Maintain good communication and relationships with colleagues in the Intercultural department and colleagues in other departments
- Give feedback on systems and processes and suggest changes where appropriate
Develop and maintain relationships with external resource people (coaches and subject matter experts) and with organizations
- Review written documentation upon receipt of program file
Review and analyze customer needs based on intake notes
Work as a team with the coach to determine the approach best suited in the intercultural training program to the customer’s needs
Find, interview and contract qualified subject matter experts
Communicate with and update coach on status of program; discuss areas for improvement of program
Correspond with subject matter experts to confirm presentations
Fully manage program in the Digital Learning System to monitor program status/quality
- Write biographies of newly recruited subject matter experts
Gathers Coach and Presenter banking information and input it in ATLAS
Manage the participant and coach evaluation process
Update ATLAS database screens to capture all program information
Complete invoicing procedures for programs
Book hotels and conference room and order necessary AV equipment, when needed
About you:
Ideally you will bring the following skills.
Administrative and Organizational
- Serve as a support to other Program Specialists
Maintain and update global database of resources
Proofread written materials for training department
Provide administrative support such as formatting and cleanup of documents, as needed
Participate in company staff meetings and other meetings, as required
Bachelor’s degree or equivalent in Intercultural Studies, International Studies, Business, Linguistics preferred
Minimum 2 years work experience in service environment
Speak and write at least one foreign language preferred
1-3 years international living experience preferred
Proficiency in database and spreadsheet manipulation
Proficiency in internet searches
Proficient Microsoft Outlook/Word/Excel, PowerPoint
Excellent time management, attention to detail and organizational skills
Initiative and critical thinking skills
Strong problem solving / analytical ability
Ability to multi-task and prioritize
Interpersonal/Influencing skills
Ability to work successfully in a team environment & with a virtual team
Ability to manage a virtual network of cross-cultural trainers
Global mindset & cultural sensitivity
Impeccable communication skills – written and verbal
