Main Duties & Responsibilities

Team Coordination


  • Organise race travel arrangements for department staff and contractors, ensuring timely completion and submission of travel plans within company deadlines.

  • Assist Producers and Executive Producers with the drafting and distribution of production schedules, crewing lists, call sheets etc.

  • Maintain and coordinate all contractor requirements, including processing paperwork and updating contractor information on the relevant databases in a timely manner.

  • Be first point of contact for contractors, resolving queries.

  • To co-ordinate the supply of uniform to staff and contractors.

  • Assist staff with time and attendance queries as administered via the Workday app.

  • Liaise with the Production Coordinator and Production Administrator to align where relevant.

Finance


  • Raise Purchase Orders and match with invoices post event.

  • Support budget owners with cost tracking and reporting.

  • Obtain supplier quotes and deal with enquiries.

  • Support budget managers with onboarding suppliers and orchestrating the Procurement process.

  • Assist the Head of Department with the preparation and submission of their credit card, floats and expense claims, ensuring submission deadlines are adhered to.

Other


  • Work with the Health & Safety department to create Risk Assessments.

  • Review, develop and maintain internal processes and procedures.

  • Provide updates and information quickly and efficiently within an environment that is continually changing.

  • To undertake other duties within your capabilities as the Head of Content Production or Team Managers may assign to you from time to time.
