Purpose of role:
To provide first rate administrative support for a busy producing and general management department and its productions.
Responsibilities:
β Scheduling auditions and interviews
β Assisting the producing team on recruiting, negotiating deals for and contracting production personnel including cast, stage management and production team members
β AV checking personnel
β Research and booking suitable rehearsal and audition rooms
β Contracting production suppliers
β Acting as a point of contact for stage managers and production staff
β Arranging accommodation and travel
β Issuing itineraries
β Scheduling production and producing team meetings
β Compiling contact sheets
β Minuting producing team meetings and circulating action points
Finance
β Reviewing weekly theatre contra statements, preparing questions for the producer or executive producer
β Reconciling petty cash floats
β Checking and coding invoices
β Contracting investors
β Administration of payroll with the production accountants
β Drafting royalty statements
β To support the production accountants in the delivery of VAT returns and TTR claims
β Drafting investor updates and statements
Press, Marketing, Customer Service
β Responding to audience feedback and complaints
β Compiling distribution lists for press cuttings, show reports, box office figures, marketing materials, general management updates, etc.
β Overseeing access performances in the absence of the Production Coordinator
β Assisting on the organisation opening nights, including ticket requests, gifts and after-show celebrations
β Overseeing special and post show events in the absence of the Production Coordinator
β Scheduling and attending marketing meetings
β Booking house seats
β Accurately draft and proofread programmes and souvenir brochures
General
β Attending performances and company meetings
β Working with the production manager to deliver the physical production
β Other jobs normally associated with production assistants, administrators, coordinators, and associates in the West End of London
β Deputising for the General Manager and Producer as appropriate
Job Types: Full-time, Permanent
Salary: Β£25,000.00-Β£27,000.00 per year
