About The Role
Receives and greets customers and other visitors. Directs same to the appropriate place or employee and answers general questions. Provides visitors with building Healthy and Safety information and manages the floors fire evacuation procedure. Issues control badges as required; records visitor’s arrival and departure times. May check employee identification. May perform incidental clerical duties. Responsible for maintaining the basic facilities for the building. Responsibility for faxing a personal computer and laptop to perform certain duties.
The Receptionist is responsible for providing a welcoming and professional reception service for Lockheed Martin UK Head Office in London, including effective use of the main switchboard. The Receptionist is the first point of contact for external callers, personal visitors and for staff at all levels. The Receptionist is expected to be able to communicate effectively with staff and visitors and to work as part of a small team within the large Corporate Organisation.
The main areas expected to be covered are:
Provide an effective and efficient reception service, maintaining the highest standard of customer service, offering a warm and professional welcome to internal and external customers/guests
Responsible for the operation and maintenance of the switchboard, voicemail and contact information
Liaising with all office vendors and tradesmen
Supervising and editing of office security badge system
Verify IDs and Documents for Security Clearances.
Ensuring correct disposal of all hazardous goods
Accredited First Aider. Manager first aiders and document weekly checks
Weekly office safety checks
Distribute and post incoming and outgoing daily mail
Deal with deliveries
Book taxis and couriers
Order all facilities related items
First Aid and Fire Warden when required
- Keep the reception, conference rooms and pantry kitchen presentable at all times
Schedule meetings using outlook
Organise VTCs and Test with VTC team in US when required
Maintain the office locator
Order breakfasts and lunches as required
Assist with Team Events i.e.- Christmas Party
Required skills, qualifications and experience
Required skills, qualifications and experience [JP] :
- Confident and assertive with people at all levels (e.g. staff visitors, the public, VIPSs)
- Ability to create a welcoming, friendly and professional environment
- Good working knowledge of Microsoft packages and database management
- Excellent administrative and organisational skills and experience
- Knowledge of financial controls and ability to manage efficiently
- Good Communication skills
- Understanding of Health and Safety practice
- Exceptional team player with ability to leverage internal support as required
- Ability to handle multiple tasks and balance work to meet deadlines and remain calm under pressure
- Ability to remain flexible
Desired skills, qualifications and experience [JP] :
Previous reception experience in corporate environment, happy to work alone, self motivated, happy to use initiative.
LMPeople Qualifications and Experience :
High School diploma with additional specialized training in specific aspects of job functions and/or demonstrated ability to perform assigned tasks, and 1 year of experience.
