Studio Production Assistant

Job Purpose

Reporting into the Senior Production Manager, the focus of this role is to support the Production team and wider studio team with all production admin and on set shoot assistance. This role is for someone that is flexible with a can do attitude. It would suit someone that likes to be busy as there will always be something to do in this role. You are going to need to have excellent admin skills as well as be comfortable on a busy photo studio set. Ideally you will have previous experience as a runner or studio assistant in a photo studio.

Accountabilities and Responsibilities

• This role is responsible for supporting the Senior Production Manager to ensure the seamless running of all day-to-day activities for the e-commerce studios including:
• Support the Senior Production Manager and Studio Shoot Producer on all studio production to ensure smooth running of the studios
• Support the Studio Shoot Producer with the scheduling process, including sending call sheets and chasing options. Be able to cover Producer role when required
• Support with any day-to-day studio assistance as and when required including steaming product, helping to keep the styling wardrobe tidy, and other sample library duties
• Welcoming models and freelancers, ensuring they have everything they need whilst they’re on the shoot
• Reporting freelance and model arrival times, notifying if anyone is delayed to the Shoot Producer so they can chase where needed
• Manage the purchase order process, raising and sending within time frame
• Processing and sending invoices for approval. Keeping a record of all costs and being able to recognise any costs that come through for different departments
• Maintaining the invoice sheet ensuring all calculations and data entries is correct
• Send out weekly reminders for outstanding invoices
• Review and adhere to monthly budgets. Working with stakeholders in the studio team and making sure they keep within their budget for their areas
• Recognise any overspend and flag when necessary
• Being the point of contact for model agencies and freelancers, answering queries regarding invoicing
• Managing all payment enquiries and ensuring the terms and conditions are understood
• Build and maintain professional relationships with all external associates
• Monthly meetings with the finance business partners and ensuring we are within budget every month
• Setting up new vendors, managing the form requirements, and making sure legalities are followed
• Suggests changes and improvement to increase accuracy, efficiency, and cost reductions
• Support the photography managers with any photography equipment maintenance and admin, including kits rental and repairs
• Support the onset photography team will photography studio set ups and take downs
• Stepping in to cover sickness for the Stylist Assistant role
• Completing any required studio orders e.g. props, stationary, kit orders etc
• Managing production accounts and expenses inc. credit card spends
• Build relationships with on set shoot teams and provide support where needed
• Supporting the Casting Manager on studio casting, model invoicing & 915 kids shoots prep
• Support with ad hoc social media requests – shooting behind the scene studio content on mobile
• Support HOS and Senior Managers by creating studio presentation decks
• Support HOS and Senior Production Manager on adhoc tasks outside of BAU

Technical Knowledge & Experience

• Confident communicator – friendly and approachable
• Happy to take on any task
• Experience creating presentations – PowerPoint/Keynote/ InDesign
• Has experience in a studio or similar environment
• Friendly and approachable
• Fast learner
• Experience in communicating with external parties
• Experience in excellent time keeping and keeping to strict deadlines.

• Highly organised and self-starter
• The willingness to demonstrate initiative
• PC Literate Excel Word and PowerPoint
• Previous experience in a similar role – photography studio
• Has an interest in social media – Tik Tok and Instagram – and can use to showcase some of the Studio work in a professional way
• Degree level qualifications preferred
