Office Assistant
Full time, permanentSouthampton

Salary: £22,5k – £25,5k DOE

Our client, RS Studio are an architecture and planning business based in Southampton, Hampshire. Established in 2019, they provide pragmatic and tasteful architectural design solutions for residential, commercial and community properties.

Due to rapid growth within the company, they are now recruiting for an Office Assistant to join their friendly and innovative team. The successful candidate will be responsible for multiple aspects of the business: office duties, architectural duties, accounts, and marketing and in the future also assisting them in achieving industry accreditations e.g., ISO 9001, RIBA, Checkatrade, CHAS etc. Reporting into the Director, you will enjoy process driven workflows and ensure the smooth running of office processes and procedures.

Office Assistant, the role:


General Office Duties:

  • Ensuring phone calls and emails are answered in a timely manner

  • Bookings visits and meetings

  • Handling insurance renewals

  • Coordinating office maintenance and upkeep

  • Managing company CRM systems


Architectural Duties:



  • Updating clients on progress of works

  • Entering data into CRM systems

  • Accounting & Administration duties:

  • Preparing accounts reconciliations
  • Issuing client and supplier invoices
  • Analysing and chasing debtors


Marketing:



  • Obtaining reviews from clients

  • Updating social media accounts

  • Arranging company marketing materials
Office Assistant, the person:



  • 5+ GCSEs grades 9-4 (A-C) or equivalent, including English and Maths

  • Previous experience in a similar role

  • Strong knowledge of Microsoft Office

  • Working knowledge of accounting systems i.e., Xero
  • Excellent written and spoken English

  • High attention to detail

  • Ability to work in a fast-paced environment

  • Organised and eager to learn

  • Full UK Driving Licence
